Exhibitor Letter 2012

Welcome to our 2011 Exhibitors...

Setting up Display
All displays must be completely set up by 8.00am Thursday morning of the Event. Before you set up your site your first point of contact is the Admin office.  Please see the team to make sure you are setting up in the right position. Management do recommend, where possible, that displays are setup no later than Wednesday.

Payment
Full payment of sites is required by the 30th of April and must be paid for before site allocations will be given.  If you have already fully paid a big thank you, if you are still yet to pay could you please forward your payment as soon as possible or contact Admin with details. 07 49824244

Accommodation
Accommodation is available for late bookings. Please contact Admin.

EFTPOS Facilities
There will be an EFTPOS machine located at the Administration Office

Opening Hours
Ag-Grow Emerald Field Days are open to the general public from 8.00am to 5.00pm daily.
Packing up prior to 5.00pm on Thursday is not recommended.

Admin Office Hours
The Admin office is located on the grounds at site G&H11. Office hours are 7.00am - 6.00pm or Ph: 0408723914 or 0419426013 for emergencies.

Permanent Structures
Permanent structures can only be erected in consultation with the organizers. Exhibitors are asked to notify the organizers of their intentions well in advance of the event.

Site Improvements
Services are available to provide you with sawdust, bark chip and hay bales. Booking is essential and orders will be delivered on Monday 4th July.
Improvements will not be delivered until you notify us of your arrival. We will deliver as promptly as possible but do not take responsibility for spreading your order.

Plant Hire
Site beautification, you can hire pot plants and have them delivered to your site; book with Emerald Indoor Plant Hire - 0749824816 or 041852774

Water/Power
These are available to all sites but please remember to bring your own power leads, power boards, hoses, buckets, rakes etc.

Field Demonstrations / On Site Demonstrations
Field demonstrations are welcome. Please contact Admin prior to any demonstrations taking place to ensure no risk to the public and no interruption to high voltage power lines.
Exhibitors who do demonstrate on their static display area should do so in co-operation with neighbouring exhibitors.

Cranes & Forklifts
A Crane & 4 forklifts will be available to all exhibitors. These are available on an as needs basis and we ask that you please be patient and we will get to you as quickly as possible. The Crane is booked for Tuesday, Wednesday and Sunday.
Any exhibitor requiring a crane outside these days should make their own arrangement with Walter Wright Cranes on 07 4987 4908.

Company Flags
Ag-Grow have erected a number on flag poles around the site so please feel welcome to bring your company flags. Flags can be placed on your site and they are also welcomed along with promenade during the three days.

Please inform the Ag-Grow office if you would like to take advantage of this opportunity.

Money / Change
You must make your own arrangements with the local banks in regard to change for you site.

Security
A professional security service operates on site from 6:00pm to 6:00am Tuesday prior to Sunday after the Event. YOU WILL NOT BE ALLOWED ON SITE UNLESS YOU HAVE YOUR EXHIBITOR PASS.

Exhibitor Entry
Please take not of the Exhibitor entry and parking on the site map. The main gate on the Capricorn Hwy is an exit point only due to the interruption of traffic flow. This applies to Thursday, Friday, and Saturday only.

Exhibitor Car Parking
Please do not park you cars on your site or your neighbours. Exhibitors are requested to park their vehicles in the designated "Exhibitor Only" parking areas.

Buses and Taxis
Emerald Taxi's Ph: 131008. A shuttle bus will be operating Thursday, Friday and Saturday from the Exit Bar (Exit Gate - Capricorn Highway)

For Safety's Sake
At all times, tractors, vehicles, implements and equipment may be moving around all parts of the site. Exhibitors should exercise care particularly where children are present. Fire, Police & Ambulance services are on site over the three days - Marquee at the side of Administration Office.

Camping
Due to an increase in exhibitors camping at Ag-Grow is limited. Access to power may not be available so we have made arrangements for camping at the show grounds. Contact Doug - 0428396448
We understand some exhibitors may need to camp at Ag-Grow and ask that these companies please email a list of names through to admin@aggrow.com.au before June 30 so camping passes can be prepared for you. YOU WILL NOT BE ALLOWED TO CAMP AT AG-GROW UNLESS YOU HAVE YOUR CAMPING PASS.

Exhibitor Passes
Exhibitor passes are available for collection when you arrive at Ag-Grow. You will need to present these Thursday morning to avoid an admission charge to please remember to collect them - additional information below -Site Exhibitor what you need to know- -Very Important-

Product Listing Forms
If you have not completed one of these forms or your current one may need updating please let us know. These forms assist us in promoting you correctly during the field day and on our website throughout the year.

Fundraising and Charities
We ask that any such activities please obtain permission from Admin prior to the field day.

NLIS for Cattle Exhibitors
To assist you we have arranged an authorised officer to read and register all exhibited cattle over the age of 2 years. This will take place of the Thursday morning and we will come to you. It would be helpful if you could have your PIC number available for this reading should it be needed.

Tick Spraying
The DPI will conduct spraying of stock for ticks at the Ag-Grow site Saturday from 1pm. If you require this service you must contact Admin with stock numbers to be past on to the DPI.

Sites

Exhibitors, what you need to know -Very Important-

Maps on Display
We will have maps on display out the front of the Administration Office and pavilions for you to refer to, please do not hesitate to ask our Ag-Grow QMIX Office Staff if you are having trouble finding anything or not sure where to go.

All Large Outdoor Sites
Which include - Full Display, Econo please Check in to the Administration Office (open from 7am daily) on arrival and collect your Exhibitor Passes - you will need your Exhibitor Pass for access through the gate from 6.30am - Tuesday 10th, Wednesday 11th & Thursday 12th July (or you will have to purchase an entry ticket at the gate)

All Smaller Out Door Sites
Which include -3m x 3m sites out side the Steve Taylor and the Queensland Cable Services (QCS) pavilions - Wednesday only - please go to your pavilion and an Ag-Grow QMIX staff member will assist you and have your Exhibitor Passes. If you arrive before 7am Wednesday please go to the Administration Office and check-in with our Ag-Grow QMIX staff and collect your Exhibitor Passes and directions to your site.

All Pavilion Sites
Which include - Boothed and unboothed sites in The Steve Taylor, Queensland Cable Services, Eco and Curragh Pavilions - Wednesday only - please go to your pavilion and an Ag-Grow QMIX staff member will assist you and have your Exhibitor Passes. If you arrive before 7am Tuesday 10th July - please go the Administration Office and check-in with our Ag-Grow QMIX staff and collect your Exhibitor Passes and directions to your site.

All Cattle Display Sites
Please go to the Cattlemen's Rest Area (Shed across from the Administration Office) - Wednesday only - one of our Ag-Grow QMIX staff members will assist you and have your Exhibitor Passes. If you arrive before 7am Tuesday 10th July - please go to the Administration Office and check-in with our Ag-Grow QMIX staff and collect your Exhibitor Passes and directions to your site.

Food Vendors
Will need to comply with the Central Highlands Regional Council by-laws and fill out an Application for Temporary Carters Permit from the Health Department at the CHRC - please contact Bec Sheperd 07 49828333 or they may have already been in contact with you, so you will already know all about it.

Camping Armbands
If you are camping in the Car Park at Ag-Grow please collect your armbands from our Ag-Grow QMIX staff at the administration office.
